Job Summary Responsible for initiating the recording and acknowledgement process for donor contributions and directs the support staff in the management of the acknowledgement letters and levels of recognition. Responsible for maintaining donor records, fund restrictions, reconciliations to the financial general ledger and assuring the structure, security, accuracy and integrity of donor information. Provides support for individual major gift officers and staff, for Moves Management meetings, for financial reporting, development and execution of queries, reports for revenue tracking, prospect analysis and research. Also provides input on the policies and guidelines for use in coding and processing gifts. Requirements are proficiency in Donor Database software management, Crystal Reports and advanced philanthropy financial record keeping systems requiring the exporting and downloading of data. This position requires a high level of confidentiality by an individual who possesses excellent financial, analytical, direct mail, and other philanthropy systems skills, in addition to interpersonal, organizational, verbal and written communication skills, problem solving, and excellent customer service skills. Handles information ethically, accurately, timely and pays particular attention to detail.
Manages recording of all philanthropic gifts, financial record keeping and daily accounting; reconciles to the General Ledger monthly. Prepares weekly and monthly reports of financial and statistical data. Ensures accuracy of all donor records in Donor Database software system. Supervises, audits and manages contributory revenue posting process. Coordinates data transfer to Finance general ledger. Accurate coding is critical for fund balances, appeal analysis and campaign and facility tracking. Establishes policy and procedures for system use, income processing and other related functions to ensure timeliness, consistency and quality control.
Manages and insures the accuracy of all Database data. Establishes guidelines for consistent and accurate donor/prospect records to maintain database integrity. Researches and resolves duplications and errors in the data. Develops, generates reports on Foundation giving programs, including capital, annual giving, employee giving campaigns, endowments, events, recognition and special projects. Develops queries and reports for revenue reporting.
Reports on activities for identification of solicitation, prospect research, and stewardship of donors and prospects. Determines criteria for the creation of mail lists as requested. Serves as the primary information resource of the Donor Database software system as it is used in the implementation of gift management, memorials, tributes, events and fund distribution.
In accordance with Foundation guidelines, initiates donor acknowledgement and recognition process by recording receipts, notifying appropriate staff members, and drafting recognition correspondence.
Identifies Donor Database user requirements, and plans, coordinates and assigns security privileges. Programs software codes and tables, tests and coordinates modifications to ensure system performance. Communicates with IT and software vendors on database upgrades and conversion with an emphasis on minimal downtime. Trains staff members on functionality of Donor Database including how to extract frequently used reports and interpret recorded data. Establishes guidelines for consistent and accurate donor records and data integrity.
Directs and supervises volunteers used during busy season. Performs other duties as assigned.
