The Project Coordinator works within the Strategy and Business Development department to advance strategic initiatives across Long Beach Medical Center and Miller Children’s and Women’s Hospital. In coordination with leadership, key stakeholders, and project team members, the Project Coordinator provides administrative support and project management tools to advance key projects across milestones to completion. The Project Coordinator prepares regular project status updates and post-implementation project reporting. In addition, the coordinator will administratively support key business development meetings and events to help facilitate business development and physician relations initiatives.
Essential Job Outcomes & Functions
Manages Strategy and Business Development projects to achieve objectives, timetables, budget and overall success. Organizes objectives into clear tasks with delegation of responsibilities. Sees projects through to completion with guidance from Executive Director and Vice President.
Interfaces across other hospital and health system departments to investigate issues, gather pertinent information and solve problems directly or recommend course of action for resolution, with guidance from Executive Director and Vice President.
Schedules, plans and facilitates business meetings efficiently. Maintains documentation of important topics and next steps, then follows up as needed with stakeholders and task owners about action items and deliverables to ensure advancement. Demonstrates flexibility, adjusting priorities and tasks as necessary and shares updates with stakeholders and executive sponsors.
Coordinates logistics and provides administrative support for key Business Development and Physician Relations events. Liaise with stakeholders during the planning process to ensure optimal execution, propose ideas to improve quality, assess each event’s overall success and report summaries to key stakeholders. Maintain event budgets, RSVP lists, book venues, equipment needs, and conduct final inspections on the day of the event to ensure adherence to high standards.
Using lean principles, identifies opportunities for operational efficiencies and collaborates with others for implementation. Works with departments to define key processes and coordinates with stakeholders to better manage processes.
Prepares accurate and timely reports, aggregates updates, data, and other documentation as necessary or requested.
Develops and maintains a general awareness of the healthcare industry, including: trends affecting business development priorities, current and emerging technologies, and software applications.
Serves as a resource to define business processes and optimal use of software applications.
Minimum of 5 years experience as project manager or equivalent business experience required. General understanding of key areas of the healthcare business required. Analytical with the ability to creatively think and problem solve. Excellent communications skills, both verbal and written. In-depth knowledge of business software applications, PC operation, business tools and technologies, process improvement techniques, search tools and research methodologies preferred.
Bachelor’s or advanced degree in Business, healthcare or related field preferred.
