Associate Program Manager, Community Development

Position Summary:

The Associate Program Manager for Community Development plays an integral role in supporting the event fundraising efforts for Vanderbilt University Medical Center and Friends of Monroe Carell Jr. Children's Hospital at Vanderbilt. This position assists Directors in planning, coordinating, and executing fundraising events and programs with some guidance. This person will also support the administration of the financial processes and fundraising/digital platforms that are used for our fundraising activities.

Primary Responsibilities:

Under the supervision of the Director of Community Development, the Associate Program Manager for Community Development will have the following responsibilities:

• Participate in the development and implementation of community development events.

• Attend Community Development events as needed to assist with set-up, registration, silent auctions and/or other logistics.

• Manage the comprehensive Community Development event calendar in Smart Sheet.
• Assist the Executive Director and Directors with stewardship activities such as visits with event donors and check presentations and tours.
• Prepare correspondence and mailings in support of fundraising events.
• Maintain data and produce reports to support volunteer and event management.
• Maintain knowledge of all VUMC Development administration and financial policies.

• Coordinate and work closely with VUMC Gift and Donor Services to ensure that gifts received from events, and programs are handled timely and appropriately.

• Provide support for assigned Director(s) including but not limited to managing monthly budget/expenses, preparing travel approvals, making travel arrangements if needed, submit expense reports, and other standard office activities.
• Uphold departmental and institutional policies regarding confidential information.
• Provide administrative support for fundraising projects and fundraising special events benefiting VUMC and Children's Hospital including coordinating event activities through online fundraising/digital platforms, including online silent auctions, event registration, and maintaining invitation and RSVP lists
• Coordinate Champ for events as needed.
• Interface with community volunteers and VUMC colleagues to support events and fundraising programs.
• Maintain, monitor, and reconcile all aspects of operating budgets for respective Directors fundraising events. Create and run database queries and reports and updates databases as necessary.
• Schedule meetings and maintain calendars for assigned Directors.
• Support Directors development activities with assigned prospects, assisting in management of information, and basic research and or follow up as requested.
• Assist with meeting preparation and follow-up.
• Assist in producing meeting materials.
• Provide administrative support including office coverage, answering phones, process mail, and handling inquiries. Cover VUMC Development front desk and phones, as assigned.
• Uphold departmental and institutional policies regarding confidential information.
• Maintain the VUMC Credo in all work.
• Perform other duties as assigned.
• Provide applicable event reconciliations to the Director of Finance.
• Assistance in planning Friends membership events such as annual kick-off and year-end celebrations.
• Assistance in Friends volunteer job trainings.
• Assistance in membership events such as I'm a Friend Month and Friends Connect Series
• Prepare correspondence and mailings in support of the fundraising events.

• Invitation list management assistance as needed.
• Friends event ticket sales administration.

This is a full-time job. Some evening and weekend work will be required.
